Reserving Classrooms 601A and 601B
Purpose of Rooms 601A and 601B
Rooms 601A and B were designed to be used by the Library and Medical Center personnel for computer training or for meetings or seminars related to Medical Center functions. Other use of the 601A classroom is allowed as space and time permit. Procedures for reserving the room and requesting additional equipment and support are outlined below.
Classroom Facilities
Standard equipment is those items permanently installed in the rooms. No setup is required and there is no additional charge to use any standard equipment.
Standard equipment in Room 601A:
- Data Projector
- Podium and Windows PC
- Projection screen
- Whiteboards and pens
- Tables and chairs to seat 30 classroom style with an additional 12 chairs around the perimeter
- Ethernet to podium computer
Arrangements can be made by the requestor with the Medical School Custodial Services* for additional furniture or for major classroom configuration changes to 601A. The requestor is permitted to move furniture with the understanding that the requestor is to return all furniture to its original configuration and additional furniture will be removed at the conclusion of the class or meeting. Failure to return furniture to its original, classroom configuration will result in a charge to the requestor for MSCITS-AV staff time spent restoring the class to its original configuration.

The following items are standard equipment in Room 601B:
- Data Projector
- Projection screen
- Whiteboard wall and pens
- Tables and chairs to seat 24 students
- 24 PC’s for students plus 1 PC for the instructor’s use
- TCP/IP network connections for all computers
Additional tables or chairs cannot be provided in 601B. Requestor IS NOT permitted to change the configuration of the furniture or computers in this classroom.
To add or change software or network configurations to the Instructor computer and student computers in 601A or 601B will incur a charge of $50.00 per hour with a minimum of one hour. Request for this service must be made when the room is requested. All software and additional information must be provided to MSCITS Desktop Engineering seven working days before the scheduled event.
NOTE: Failure to cancel a Room Reservation within 24 hours of the scheduled reservation date will result in a charge of $50.00.
Computer Configurations
IBM Compatible PC’s
There are 24 PCs in Room 601B. One additional PC is reserved for the instructor. All are Gateways Profiles. Contact the MSCITS Desktop Support about special software needs. A separate request for audiovisual and computer equipment must be completed by the requestor. Complete the online form or call MSCITS-AV at 314-362-2793.
There are no Macintoshes in Room 601B.
To add or change software or network configurations to the instructor computer and student computers in 601A or 601B will incur a charge of $50.00 per hour with a minimum of one hour. Request for this service must be made with MSCITS Desktop Support when the room is requested. All software and additional information must be provided 7 working days before the scheduled event.
Booking the Classrooms
The Becker Medical Library Director’s Office (314-362-2774) is responsible for scheduling the use of both 601A and B for all meetings, classes, and seminars. In general, the classrooms cannot be reserved for regular or ongoing, academic courses. Individuals wishing to reserve one of the classrooms should follow the instructions below:
601A – This classroom is available for training, meetings and seminars. WU students, faculty, and staff may complete an online reservation or call Becker Medical Library Director’s Office (314-362-2774), for assistance. When a room request has been made, a written confirmation will be sent to the requestor. This confirmation must be signed and returned via interdepartmental mail (Box 8132) or fax (314-747-4416) to complete the reservation
601B – This is the computer classroom. To book this room, please call Becker Medical Library Director’s Office (314-362-2774) for information on availability and to make a reservation.
A separate request for audiovisual and computer equipment must be completed by the requestor. Complete the online form or call MSCITS-AV at 314-362-2793.
Becker Medical Library Director’s Office and the MSCITS-AV Staff Responsibilities
Becker Medical Library Director’s Office is responsible for providing written confirmation of a room and MSCITS-AV, 314-362-2793 is responsible for providing written confirmation of audiovisual requests, setting up equipment according to the request form, and for making sure a staff member is available to help the instructor or host should a problem related to library hardware or network connections in arise during the class. Neither MSCITS nor Library staff are responsible for transporting equipment or supplies or making photocopies of materials to be used during classes.

Request for this service must be made when the room is requested. All software and additional information must be provided to MSCITS-AV, 314-362-2793, seven working days before the scheduled event.
Your Responsibilities
Complete the Classroom Request Form and return it to the Becker Medical Library Director’s Office. Individuals reserving the classrooms are asked to arrive at least 30 minutes before the class. This will allow you time to familiarize yourself with the room and computer configurations and to ensure that the setup (if requested) by MSCITS-AV staff (and Custodial Services, when applicable) has been completed as requested. You will be notified in the event that another class will be in progress before your scheduled time. Arrangements can be made to familiarize you with the equipment and facilities before your scheduled event. Every effort will be made to provide at least 15 minutes between classes to allow time to review setups and check network connections.
At the end of your event, please cap any markers and return them to the trays on the front wall. If you requested setup, please notify MSCITS-AV staff (or Circulation Desk staff after 4:30 pm) so they can disconnect and remove any equipment from the room. Otherwise, you should return equipment used to the MSCITS-AV Desk. The instructor is responsible for returning all furniture to its original position. Requestor will be charged if library staff are required to return furniture its original configuration.
Please check to make sure that you prepare an adequate number of printed materials for each event. Additional copies can be made on copiers in the library, but staff to assist in copying are generally not available.
Food Policy
- No food is permitted in 601B.
- Catered meals are not permitted in 601A. Coffee/pastry service, including coffee, soda, cookies, fruit, and pastries, and cold or boxed lunches are permitted. Requestor must make arrangements with the cafeteria for coffee service. Pizza and other hot foods are NOT permitted.
- Requestors providing cold lunch services, including brown bag lunches, will be charged $50 to cover the costs of cleaning carpet, chairs and tables.
- Requestor is responsible for leaving room clean of food and trash and for removal of coffee service equipment by the end of the meeting day or before the next scheduled event, whichever is earlier.
- Requestor will incur a $50.00 charge if Library staff has to follow up on trash or coffee service removal or if tables and chairs are not returned to the standard classroom style setup within 1 hour of the conclusion of a meeting.
Fees
There is no charge for use of 601A or 601B by University staff for meetings or classes for University personnel unless a cold meal is offered. There will be a charge as outlined above for staff time spent in excess of one half hour when substantial changes to standard computer software and network configurations are requested. There will be a charge for all staff time required for computer software and network configuration changes if the reservation is cancelled less than 24 hours before scheduled meeting time.
